Job DetailsJob LocationWoodland - , CAPosition TypeFull TimeJob CategoryAdmin - ClericalDescriptionThe Administrative Assistant works under the direction of the Program Administrative Manager with a team of administrative and program staff members to perform a variety of administrative tasks and assist clients in the Behavioral Health Program. CommuniCare Health Centers' mission emphasizes nonjudgmental care, preventive care, health education and community referrals to address the broad spectrum of health and lifestyle concerns of clients served. FILL IN position, Monday through Saturday, 0-40 hours per week at all CommuniCare sites. Availability required on occasion at Behavioral Health sites in West Sacramento, Woodland and Davis. Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons.Answer phones, provide information on clinic services and referral serviceAssist with the scheduling of appointments for assessments and physicals Greet clients, collect payment for services when appropriate, issue receipt for payment, enter clients into electronic health record system, give clients forms to be filled out when appropriate and complete all appropriate paperwork with clientMaintain Scanning dailyKeep and update Urine Analysis (UA) testing log Maintain client confidentiality, and follow regulations governed by 42 CFR, Part 2 Supervise urine samples, record the lab Collect and verify Medi-Cal, Partnership and MedicareCollect and verify paymentsInventory supplies and follow-up on slow or missing orders with the Administrative ManagerUpdate Bulletin Board; including pamphlet display boardMaintain accuracy and neatness in all client chartsMaintain spreadsheets, data entry Purchase orders, maintain credit card log Word processing and other administrative duties as needed, making copies of documents, purging binders Performs other duties as assigned by manager.QualificationsEducation: College education preferred, high school diploma or equivalent.Experience: Administrative and customer service experience in a medical office, hospital or clinic preferred. Experience working with clients seeking mental health and or substance use treatment strongly preferred. Special Skills/Equipment: Bilingual Spanish/English preferred. Demonstrated ability to answer many phone lines simultaneously while maintaining courteous and patient phone manner. Knowledge of computer software; Microsoft Word Microsoft Excel Expectations: Attendance and punctuality is necessary. Ability to work well with a multidisciplinary team. Ability to problem solve and be self-motivated. Must have a commitment to excellence and high standards. Must have excellent written and oral skills, strong organizational, problem-solving and analytical skills. Must have ability to multitask, manage priorities and workflow. Required to have versatility, flexibility and a willingness to work within constantly changing priorities with enthusiasm and have acute attention to detail. Expected to have strong interpersonal skills and can understand and follow written/verbal instructions. Able to feel comfortable discussing male reproductive health and substance abuse issues in a limited role. Able to work independently with little or no supervision. Required to have the ability to deal effectively with a diversity of individuals at all organizational levels and with external customers. Physical Requirements: Ability to operate office equipment, including computer and copier equipment. Must be able to sit or stand for long periods of time, with occasional walking. Ability to bend and lift to 25 pounds. Hearing and vision required.
